Expansion Team Assistant P/T at Infarm

Working closely with the Senior Expansion Manager, you will provide comprehensive project management and administrative support to the Expansion Team and handle a wide range of administrative tasks. The ability to interact with partners, remote team members and business professionals, remain flexible, proactive, resourceful and efficient in a dynamic start-up environment while maintaining a high level of professionalism is critical. It's a part time role, with working hours between 24 and 32 a week.

Specific Responsibilities Include:

  • Provide key administrative support to the Expansion Team: anticipate needs, follow-through on all project details and help with miscellaneous task management
  • Support the set-up of internal meetings and manage administrative tasks including setting up conference calls, drafting agendas, and taking meeting minutes
  • Process invoices and expense sheets
  • Conduct targeted research to optimize operations and day-to-day logistics and communicate findings in an organized and clear manner
  • Manage the Infarm vehicle fleet: coordinate the allocation of vehicles and all necessary materials/documentation, conduct trainings on proper vehicle use and serve as the primary point of contact for all vehicle management topics
  • lead our real estate search in new markets

Preferred Candidate Specifications:

  • Demonstrated administrative experience
  • Fluent in German with excellent English skills
  • Proactive, hands on and flexible
  • Excellent organizational skills
  • Excellent interpersonal skills and attention to detail
  • Ability to manage competing priorities under time pressure and in a timely manner
  • Solid communication skills
